BACKGROUND
Reliance Healthcare is a large urban hospital system in the Midwest, with approximately 825 beds
throughout its multiple locations. Reliance wanted to transition to the Epic electronic medical record
(EMR) system to ensure that seamless access to records was available for staff and patients no matter
which facility was utilized for care. Reliance preferred to obtain additional staffing from personnel who
had prior experience with an EMR transition. The goal was for the experienced external personnel to
assist the internal staff temporarily in order to maintain the high grade of patient care, patient privacy,
and administrative efficiency for which Reliance Healthcare was known.
Reliance realized that implementing a new EMR platform can be an intense process that requires a great
deal of time; they were aware that there might be a frustrating learning curve for many staff members.
While understanding the challenge, Reliance administrators did not want to experience a significant
drop in patient care quality or overall operational efficiency while moving through the implementation
timeline. The hospital system expressed a desire to increase staffing by 10-15% for every administrative
shift, 15-20% for every standard clinical shift, and 20-25% for shifts specific to the Intensive Care Unit
(ICU), the Operating Room (OR), and the Emergency Department (ED). This would allow internal staff to
have more time on each shift to learn and practice with the new EMR system before and during the “go
live” event.
Given Reliance Healthcare’s specific needs, they chose to partner with an outside company who could
provide the external staff/consultants to fill their staffing requirements. They had a successful track
record for providing similar solutions for other healthcare organizations across the county; those in
management within the hospital system gave approval and funding for the partnership in order to
ensure a smooth transition to Epic.
RESULTS
1. The external staff were able to fulfill daily task goals with 92% efficiency.
2. 97% of internal staff were deemed proficient in the use of Epic by the “go live” date.
3. Patient satisfaction/feedback surveys showed no significant changes during the implementation
timeline.
4. There were no significant changes in patient care reported via established organizational measures.
5. The administration of Reliance Healthcare reported high satisfaction with the overall transition
period and rates of staff proficiency within the specified timeline.
6. Internal staff reported high rates of satisfaction with the adjustment to the Epic platform.
